What to check for this job

A fictional private-care provider bills an agreed family payer for seven completed visits in one week. Nine hours at illustrative weekday and weekend rates total £224. This is a billing example, not a customer testimonial or a care record.

See the private carers workflow in Experi →
  • Agreed payer and billing contact
  • Service period and a separate date for each visit
  • Actual completed hours and your agreed rate for each visit
  • VAT treatment, cancellations, previous billing and payment terms checked separately

Watch out: This is invoicing, not care planning, clinical records or proof of regulatory compliance. No VAT exemption is assumed. Do not add commercial late-payment interest or statutory fees to a private-family invoice by default. Keep sensitive care and home-access information out of invoices and reusable notes.

How to use this invoice template

Choose Use this template, then explicitly apply it above the line items in Experi. A new invoice still starts blank. Downloading the PDF gives you the worked example, not an editable form or an issued invoice.

Include quantity, unit price, and any notes.

  4. Set payment terms

Preview your invoice, print a customer copy, download the PDF, or send it directly by email.

Invoice details and record-keeping notes

Recommended job details

  • Confirm who has agreed to pay, which may differ from the person receiving the service
  • Use service dates, completed hours and agreed rates, without clinical or patient information
  • Check cancellations, previous invoices and payments before issuing

Record and VAT notes

  • Review your provider status and the specific supply before selecting VAT treatment; a care-related description does not establish an exemption
  • Keep any care records separate from invoice and reusable-template notes

Check the current official guidance on what invoices must include and VAT invoicing records.

Frequently Asked Questions

Are the example prices included when I start an invoice?

No. Applying the curated template leaves rates blank so you can enter your own agreed prices. Replace all service-date placeholders and check completed hours. Nothing is sent just by choosing a template.

Does choosing this care template make my invoice VAT exempt?

No. Your provider status and the service supplied need separate review. The template does not select a VAT exemption, change your business VAT settings or establish whether your care activity qualifies.

Can I use the same weekly structure again?

Yes. Reuse the structure, but check the dates, actual visits and hours for every billing period. Remove missed visits or deal with an agreed cancellation separately; do not present a cancelled visit as completed work.

Should I include the care recipient’s health or support plan?

No. Keep this invoice to the billing information needed by the agreed payer. Do not put clinical details, diagnoses, medication, care plans, home-access codes or unnecessary personal information in invoice lines or saved templates.
